Checklist of questions to ask a wedding caterer before booking

A good caterer will be glad to answer detailed questions. A vague answer is useful information in itself. Here are the questions worth asking before you pay a deposit.

Price and what is included

  1. What is the total price for my date and guest count, in writing?
  2. Does it include staff, setup, pack down, equipment and travel?
  3. What is not included, and what would it cost?

Safety and credentials

  1. Do you hold a current food hygiene certificate?
  2. What public liability insurance do you carry, and can I see it?
  3. If alcohol is served, who holds the licence?
  4. How do you handle allergens, and can I see an allergen matrix?

Reliability on the day

  1. Who will be on site, and will the owner be there?
  2. How much time do you need for setup, and how long does service take?
  3. What is your backup if equipment fails or the weather turns?
  4. What happens if a member of your team is unwell?

Money and contracts

  1. How much is the deposit, and when is the balance due?
  2. What are the cancellation and postponement terms?
  3. Can I change guest numbers, and by when?

Our answers, for reference

We require a £200 deposit to secure your date, with the balance due 12 weeks before the event. Postponements are free if we have the new date available. We hold £5 million public liability insurance, a food hygiene certificate and an alcohol licence, and the owner attends every event.

Frequently asked questions

What is the most important question to ask a wedding caterer?

Ask for the total price in writing, and what it includes. Many disputes come from unclear extras.

Should I ask to see a caterer's insurance?

Yes. Public liability insurance is standard, and some venues will require proof. A reputable caterer will share it without hesitation.

How much deposit is normal?

It varies. Our deposit is £200 to secure the date, with the balance due 12 weeks before the event.
